on

MEMO AND REPORT WRITING IN ARMTI

                          Organized for Staff of:

 

AGRICULTURAL AND RURAL MANAGEMENT TRAINING INSTITUTE (ARMTI), ILORIN.

1.0 Introduction

The Management of Agricultural and Rural Management Training Institute (ARMTI) gave approval to conduct an In-house training workshop for staff of ARMTI on “Memo and Report Writing in ARMTI”. The Seminar room was the venue for the 4 days training workshop. The course ran from 3rd – 6th August, 2015.

2.0 Programme

Opening Ceremony

A brief opening ceremony was attended by ARMTI Management team led by the Acting Executive Director, Mr A.U Njoku. The opening ceremony started by 11:15am to declare open the commencement of the training workshop. The Director reiterated that the Management recognises the significance of the workshop on the need to build the capacity of ARMTI staff in Memo and Report writing and that informed the decision to make it fully residential hence, he urges the staff participate actively and fully in the workshop. The course organiser, Dr. A.A Adeyemo allowed the participants to share their training objectives and expectations.

2.1 Course Objectives

The objectives of the workshop among others were to enhance participants’ capacity to:

·        write memo and report writing;

·        improve writing skills on memo and report writing

·        adopt and adapt a standardized report format; and

·        interact and network among staff.

2.1 Course Content

·        Overview of Memo and Report Writing

·        Classification of Report.

·        Guides to Report Writing.

·        Report Presentation Format.

·        Abbreviation and terms used in Memo Writing

·        Checklist of Well Written Report.

·        Graphical Aids.

·        Computer Application to Report and Memo Writing.

·        Developing Basic Writing Skills.

Adult learning principles and methodologies (such as group discussion, case studies, lecturettes, group exercises etc.) were adopted to facilitate the learning sessions which were highly participatory. Participants worked in groups (4 groups of 6 members each were formed) to discuss case studies, find solutions to exercises and formulate a standardised format on Memo and Report writing that would be submitted to ARMTI management.  Group works were presented at plenary by representatives of each group.

2.2. Workshop Participation

Participants in this workshop were drawn from the six Departments and a total of 25 participants were in attendance for the in-house workshop.

The Facilitators for the programme were highly competent, proficient and experienced. All the major concepts and scope of the modules were highly covered.

2.2.1 Course Administration

The workshop was fully residential for the participants and participants were fully involved throughout the sessions. ARMTI Facilitators in person of Dr. A. A. Adeyemo,Mr. C.O Farayola and Mr. A.A Alakoso were  fully in charge throughout all the sessions.

2.2.2    Facilities

The classroom facilities and all Audio Visual gadgets were functional throughout the course of the training workshop. The catering service was okay as varieties of meal were served during the short and long breaks. The lavatory arena was not far from the classroom and kept clean throughout the workshop.

3.0 KNOWLEDGE SKILLS AND ATTITUDE

3.1 Specific Knowledge gained

·        Knowledge on how to write appropriate report

·        Knowledge on how to use graphical aids

·        Knowledge on use of abbreviations and terms in memo

3.2 Specific Skilled Acquired

·        Writing skills has been improved

·        Computer skills on report writing has been improved upon

·        Communication skills has been better off

3.3 Specific Attitudinal Changes

·        Level of interaction among other staff has improved

·        Working in group is far better than working alone.

  3.4 HOW I INTEND TO MAKE USE OF KNOWLEDGE, SKILLS AND ATTITUDE

I intend to apply the knowledge to improve on the way I write report to top management staff. Also, the knowledge of graphical aids will hence forth be adopted to suit the manner I present report to participants in the class. Needless to write long minutes on memo, I will be able to communicate more effectively using the short terms and abbreviation shown in the class. In fact, I will be able to produce appropriate scripts and drafts for event and occasions.

4.0 BENEFITS OF THE PROGRAMME TO MY DEPARTMENT

·        Reference would be made to standardized and adopted report and memo format that was prepared in the class.

·        Basic writing skills gained in the class would be applied on how we write proposals, memos and course announcements.

·        Some level of efficiency were recorded on how to retrieve information using Microsoft Windows 2013, this I believe would be adopted in subsequent activities in the Department/Division

·        The Department was highly represented at the programme as the major driver of the course which is the first of its kind in the existence of ARMTI.

6.0       CONSTRAINT

·        Workshop duration is too tight and yet so many official works are pending.

RECOMMMENDATIONS

·        Time allocated for the workshop should be increased.

·        Training workshop such as this should be organized regularly (at least annually) for staff to enhance staff efficiency on the job. As the saying goes “If you do not train them, you cannot blame them’.

·        Subsequent workshops should also be fully residential to ensure punctuality, full and active participation of participants.

·        There should be more practical sessions.

8.0 CONCLUSION

Overall, the workshop was well coordinated and delivered. The training environment was conducive for learning and the workshop was highly participatory. As far as I am concerned; the objectives of the workshop were achieved. 

9.0 APPRECIATION

I wish to appreciate ARMTI Management for nominating me to participate in this programme, it has been a life experience and I pray God will project the image of the Institute far beyond our comprehension.
